Summary/Objective

Ensure daily facility management of the Clinton Office and provide administrative support for business processes and customer service.

Essential Job Duties

  • Serve as the primary point of contact for Clinton Office and assume site administrator duties including opening/closing the facility, paying site invoices, and performing overall maintenance review and building upkeep.
  • Supervise two hourly employees including recruitment, onboarding, training, assigning work, and scheduling.
  • Assist with site budget development and ensure expenditure compliance through regular audit and reconciliation.
  • Correspond and communicate with internal and external customers via phone, email, and in-person discussions.
  • Process invoices for payment and prepare deposits.
  • Develop procedures designed to facilitate clerical operations and provide guidance to field staff on policy and procedures.
  • Maintain front desk coverage and procedural manuals.
  • Expert knowledge of regulations.
  • Participate in DCT and Business Services meetings and activities.
  • Maintain detailed confidential files.
  • Order office supplies and furniture and manage vendor contracts.
  • Process reservations for public rentals and classroom events.
  • Maintain functionality of office machines.
  • Develop brochures, fliers, presentations and other creative displays, as needed.

Education and Experience

  • High school diploma or equivalent.
  • Three (3) years of progressively responsible administrative experience.
  • One (1) year of supervisory experience preferred.

Knowledge, Skills and Abilities

  • Proficient in Microsoft Office, including Word, Excel, and Access.
  • Demonstrated knowledge of office practices, procedures, and equipment.
  • Demonstrated customer service skills.
  • Ability to quickly learn and understand Department functions, organization, policies, regulations, and other administrative information and instructions.
  • Highly organized while performing multiple projects.
  • Ability to perform multiple assignments which may require considerable exercise of independent judgment.
  • Ability to plan, organize, supervise, and ensure a high degree of accuracy and thoroughness in the work of administrative staff responsible for a wide range of activities.
  • Good communication skills, both verbal and written.
  • Ability to establish and maintain effective working relationships with Department staff and the general public.
  • Ability to maintain the integrity of confidential information.

Work Environment

  • Work is performed in a standard office environment.

Physical Abilities

  • Remain in a stationary position 70% or more of the time.
  • Constantly operate a computer and other office productivity machinery.
  • Frequently communicate and exchange accurate information.
  • Clarity of vision at 20 inches or less.
  • Regularly lift up to 5 pounds, correctly lift up to 10 pounds.
  • Concentrated attention is required at all times.
  • Regular attendance is a necessary and essential function.

Exemption Status/Special Notes

This position has been determined to be Nonexempt according to the Fair Labor Standards Act.  Employees must agree to accept compensatory time in lieu of cash payments in accordance with the Department's Compensatory Time Off and Overtime Policy. 

Salaried and hourly employees are expected to use a mobile device-cellular phone for Department business, as needed.
